January 8,2004 

Meeting called to order at 7pm

Race Committee: Mike Wiley

1. discussed the Winter Racing Series: Frostbite Series four races every other Sunday, covering 8 weeks daily winner for bragging rights best three races will count series will begin Feb. 1

            2. working on Todd Marlin Regatta – bring in sponsors, etc. registration fee will go to the Hal Marchman Foundation

There will be an executive board meeting held at 6 pm before the regular monthly meeting. Any issues for discussion need to be addressed at that time. The regular meeting will be a business meeting only, with updates from committees. Would like to bring in guest speakers, show videos, etc.

Treasurer: Em Lowry will put together a final report for December then turn everything over to Geren Thomas before the February meeting.

Publicity: Geren and Blanche Thomas

1.      Working on publicity ideas

2.      Contact them if they know of anyone wishing to donate to the club

Facilities: Stewart Munro

1.      Jan. 10 first workday, bring gloves, tools, etc.

2.      A lot of projects to be done

Further Discussion:

1. Gary Smith would like the club to consider putting power gates, access system in at the club. This would give more control over access to the sailing center. With the keys it is out of control.

Em Lowry suggested put together estimates for cost, then prioritize.

2. John Baldwin suggested taking motors in for repair when taking the Doc Kerman in. It was discussed at the planning meeting this would be done.

Executive Committee Meeting

Minutes – February 5, 2004

 

Meeting called to order 6:05 p.m.

 

In attendance:

Gary Smith, Geren Thomas, Stewart Munro, Linda Stackpole, Gary Johnson

 

Approved Life Membership for Christie Rowland for donation of Pearson 30. Boat was recently surveyed at a value of $17,000.

 

Fees for personal use, by members, of larger (in water) club boats:

§         Memberships will not cover the cost of maintenance on larger boats.

§         Current estimate of $100 a month for the Tabasco and Carol Ann for maintenance.

§         Create a checklist for each boat

§         Need to put together a maintenance schedule for each of the boats

§         Incorporate cost of fuel into the user fee

§         Fuel replacement will be handled by authorized club staff

§         User must leave boat better than the way it was found

§         Fee is for personal use of large boats for non-club events. At this time fee is only for boats in the water. Fee for boats on trailers will be determined at a later time.

§         Fee: $20 per day

§         Fee to be adjusted as needed, determined by use.

 

Members at Anchor:

Discussion regarding the notices issued to anchored boats in area of the sailing center:

Do not bring this up to the city at this time, as an issue. Let things ride through February and see what happens. Plans to put together a business plan to take to the city to justify anchored boats and docked boats. Initially the Members at Anchor were considered Gold Members. Steve Clements is working on revising the application to make it more geared to the Members at Anchor. Their membership requirements may differ some from the Gold Members. Still maintain no more than 5 Members at Anchor.

Proposal by Stewart Munro:

Current Member at Anchor; requesting to leave his boat tied at the dock:

Stewart feels with him being at the dock:

§         it will provide more security for the club and the larger boats left in the water, during the week, evenings and weekends when no one is around

§         he would take responsibility for lawn maintenance for the club, value of approx. $1120/year

§         money saved from paying lawn care could be put towards the purchase of riding mower that would also be able to launch trailered boats for those members without a trailer hitch

§         would be available to assist with boat launches, ease some of the responsibility off Gary Smith and others

§         better available to fill his responsibilities as Vice Commodore pertaining to the facility and boats

§         Will still pay his Members at Anchor membership fee

Comments:

Gary Johnson – pay fair market value for services, need to draw lines of condition to make it fair for all – be careful about setting a precedence.

Gary Thomas – will be considered an employee at approx. $1100 a year

Gary Johnson – need to take into consideration the maintenance and storage of a riding mower, research the cost, what happens if Stewart becomes ill or leaves the area

Gary Thomas – we need security

Conclusion: Stewart will be living on his boat at the dock, given temporary dock privileges as a bosom for the club, he will pay one year Gold Membership, position will be reviewed in six months unless either party requests a review at an earlier time.

February 5, 2004  General Meeting

Commodore:

Thanks to Kevin Ray for all his hard work

Thanks to Art Poole and help for the great bench

Donation of the “Carol Ann” Pearson 30 by Christie Rowland – board approved life membership

Board adopted a $20/day fee for personal use of club boats currently kept in the water, other boats will be reviewed at a later time

Will be posting a print out of paid members in the case at the sailing center

 

Secretary:

Treasurer:

passed out copies of new report – explained how to read the report, expenses, income, etc., can send a check register to anyone wanting to review the account

Plan on spending money on boats and facilities

Will do a breakdown of expenses for the larger boats

 

Vice Commodore:

Work days – very pleased with the amount of participation, he provided materials and everyone took on the projects.

Bob Behnke is working on the Sunfish – he really needs help with them, sailing classes will be starting soon

Contact Stewart for any ideas or materials you need for a project – must get approval before purchasing items. All spending must be pre-approved by Geren Thomas or other officers.

 

Mike Wiley update:

Sunday, Feb. 8 is Race Day #2, anyone can still enter, one race is dropped out of the series

Friday, Feb. 7 is Howl at the Moon

Sailing classes will begin on March 27. Spread the word. Currently have one person registered.

 

Kevin Ray:

Request possibly put some temporary mooring buoys off the beach area to moor boats for a couple of days at a time.

Suggested building lockers to go on the west side of the building. Rent to members to store sails or other gear. He would be willing to help build them.

 

City: Gary Smith spoke with Scotty recently. They are taking bids on the seawall project. We need to research for permits for mooring boats. Do not address it with the city.

 

Commodore: We need someone to coordinate programs for our meetings. Guest speakers, videos, etc. they do not necessarily have to pertain to sailing.

Remember, the executive committee meets at 6 p.m. prior to our monthly meeting. All issues need to be brought forward at that time and addressed. Everyone is welcome to attend. This leaves the membership meetings open for programs and more positive activities.

Executive Committee Meeting

March 4, 2004 

Meeting called to order at 6 p.m.

 

In attendance: Gary Smith, Stewart Munro, Geren Thomas, Linda Stackpole, Gary Johnson, Forest Crenshaw

 1. Gold Memberships:

a.       Kuftic – send letter to remove boat, will not renew his membership, he hasn’t been to the club since parking his boat

b.      Topol – sick and can’t sail, wants to sell his boat for $900, has a broken rudder from the fence falling on it, give him the option to remove his boat or possibly the club buy it for $500, it still needs to be checked out before making the offer

c.       Gaulden Reed – trying to sell his boat, needs to be moved, taking up Embry Riddle space, has not renewed his membership

d.      Include a short article in the next Mainsheet reminding everyone what a gold membership or member at anchor involves. Several gold members are not using their boats even though they are active members in the club.

 2. Facilities:

a.       Stewart looking into finding either a riding lawn mower or self-propelled with a wider cut. Found out the newer model riding mowers will not last if used for launching boats, would need to invest in a garden tractor (they sell for $3000 or more).

b.      Forest will look around to see if he can find any deals on mowers. Duda Mower Sales offers deals sometimes on used ones. Suggest everyone starts looking around for used ones.

c.       Need to build a shed for outboards and anything with gas.

 3. Outboards:

a.       Dave Robinson is working on a 6 or 7 hp long shaft, sell for $200-$300

b.      Steward found a 4 stroke Honda, 2000 model, 8 hp, long shaft at Lucenti Bond Marina for $1200. Committee unanimously agreed to purchase it.

c.       Currently have motors on Doc Kerman and the Johnson on the inflatable. Use the long shaft Nisson 5 hp on the San Juan 21. Tabasco and Ghost both need long shaft motors. Honda would fit best on Tabasco due to the motors large physical size.

d.      Need to put filters on the gas tank in line.

 4. Prindle 16:

a.       Owner appeared and removed boat. Need to invoice him for the repair of the trampoline - $25, pintle - $20, pulley - $18, and $250 gold membership for year storage, total bill of $300

 5. Advanced Classes:

a.       Required for use of larger boats. We need to get an outline or syllabus for the class. Need to get started soon. Popularity is growing. Geren has a resume ready – gives background information on members’ experience. We will send it out as a mailer to each member.

 Membership:

a.       Gary Johnson stated that the charter states that anyone not a Volusia County resident cannot be a member of HSA. Geren will review all paperwork the club has to see what is stated in it.

Monthly Meeting

March 4, 2004

Meeting called to order at 7:10

1. Waved the reading of last months minutes, posted on website and hard copies available to anyone wishing a copy.

2. Treasurer:

a.       New entry added to report for boat usage, money is to be given to an officer.

b.      Club burgees are for sale - $18, HSA stickers - $1, Polo shirts - $16

c.       Need two more long shaft motors

d.      Need a VCR that works, we have a TV – Doc Kerman brought by several sailing videos

3. Vice Commodore:

a.       Looking for a good used riding lawn mower – contact Stewart, Geren, or Gary Johnson if anyone knows of one.

b.      Gold Members – keep all lines, straps, electrical wires, etc. off the ground. Makes it much easier for the lawn maintenance person.

c.       Want to build a shed for motors – working on a design

d.      Commended everyone for the great participation and group effort in all the work that is being done at the facility.

e.       Thanks to Kevin Ray for all his work on the boats and garage.

4. Kevin Ray:

a.       He has made a list of things to be done on boats, has the parts to work on the 14 ft. day sailor. Members need to walk around and make a list of things to be done at the club and create a project sheet for each boat – a lot of fiberglass work to be done. Prioritize what needs to be done first.

b.      20 ft. Ensenado is about ready for him to bring down to the club.

c.       Fundraiser – build a canoe or kayak to auction off.

5. Gary Johnson:

a.       Suggestion for boat maintenance – each boat have a boat master – not to do all the work but to be sure work is done on it as needed and is maintained. Solicit volunteers.

6. Commodore:

a.       Membership must be paid up by the end of March. Will be purging the database and eliminate those who haven’t paid from email and mailings.

b.      Some members have paid, but did not fill out new application.

c.       Reminder to anyone wishing to use larger club boats – you must have a check out sail with one of the designated people (Geren Thomas, Stewart Munro).

d.      Still looking for program ideas for the monthly meetings – professional people not necessarily having to do with sailing.

7. Sailing Classes: Jim Cunningham

a.       Begin March 27 – currently have 13 registered, including several children, may have to split up and use other boats (sunfish, prams)

b.      Hopes to start the Advanced classes in May – ideas on possibly 2 day Sat/Sun. class and for those wishing for the offshore training, have an overnight sail offshore, possibly as a culminating event.

c.       Additional Advanced Class requirements: Coast Guard Auxiliary come and give class, Tow Boat membership

d.      Steve Caron shared that himself, Pete Haley, and Vernon Kuftic have completed the Captain’s course and offered to help with the training.

e.       Create check out list – check boat out before taking it out.

9. Commodore’s Cup Race Series:

a.       HSA will be the committee boat and starters for the small boat course in the river

b.      7 races through the summer

c.       Skippers meeting 10:30 am on Sat. March 6.

8. Geren Thomas and Bill Field are now at the club on Tuesday’s for anyone interested in coming down then in addition to the Thursday group.

Executive Committee Meeting

April 1, 2004

Meeting called to order at 6:15 p.m.

Discussion on repair of the Buccaneer vs. American 14:

§         There was a consensus that the Buccaneer be fixed first. Parts to be used from the American mast to fix the mast of the Buccaneer.

§         Request that the leak is fixed before the Buccaneer is put back into service.

§         John Baldwin will do research to see if he can find a Centerboard Well Retro Kit. That could be what is necessary to fix it.

Gary Johnson has requested we invest in a good rivet tool. Gary Smith will talk with Stewart about pricing one at his workplace.

Gold Membership:

Instead of pro-rating the membership fee as the year progresses and new members join, agreement to make the following rates applicable:

January 1-March 31 - $250

April 1-July 31 - $200

August 1-December 31 - $100

The three-payment option of $100 every 4 months applies only to those joining as gold members in January.

Boat Reservations:

§         $20 user fee for the larger boats is to be paid at the time of the reservation

§         Fee will be non-refundable, refunded only upon the Commodore’s discretion

Summer Camp:

§         Em Lowry will talk with Mac regarding her availability to help run camp this year

§         Gary Smith will inquire as to any one else wishing to help, need someone to head up and organize the week

§         Camp will be on the agenda for the Planning Meeting on Tuesday, April 6

§         Bob Behnke pointed out the Prams need a lot of work, only have 8 weeks to do the repairs, check rudders, sails, etc. to see what needs to be done

§         We need someone to head up the repairs and work days, organize what needs to be done and recruit others to come out and help with the work

Meeting Minutes

April 1, 2004

Meeting called to order at 7 p.m.

Treasurer report:

            Geren Thomas was not able to attend the meeting.

            Gary Smith handed out copies of the treasurer report.

Waived the reading of the minutes from last months meeting.

Vice Commodore report: Stewart Munro

        Requests that boats be cleaned up    better after use.

Reminder, once again, that the gate has two locks. They need to be locked together so either one can be opened. The city needs access to the property as well has the members of the club.

Stewart will be responsible for keeping the gas cans filled and marked. Be sure to use the appropriate can for the motor you are using. They require different mixes of gas and oil.

Still need volunteers to take charge of maintenance of each of the club boats. Gary Smith will take charge of the “Ghost.”

Gary Johnson made copies of the Sailing Center, Inc.’s by-laws. They state that members must be residents of Volusia County. We will have this revised and will contact Dave Robinson to advise us on what needs to be done.

Executive Board Meeting

May 6, 2004

  1. Board voted unanimously to move the north fence 10 feet further to the north (from the public restroom to the water). Budget agreed upon of $1200. Gary and Stewart will get estimates from other fence companies. Mike Wiley already has one.
  1. Club does not want to keep the wooden boat. Kevin will remove it and do as he wishes with it.
  1. Ensenada: if we are planning to keep it, the club owes Kevin Ray approximately $500 for sails and work already done. Some minimal repairs are still needed. Board voted in favor of keeping it as a club boat and to reimburse Kevin.
  1. Embry Riddle wants to trade the California 21 for their $750 dues. It needs a trailer and motor. Board agreed to table this until June so it can be checked out further before making any decisions.

Membership Meeting

May 6, 2004

Meeting called to order at 7 pm by Commodore Gary Smith.

Treasurer report: Geren Thomas was not present. Gary Smith handed out copies of the treasurer report.

Vice Commodore:

1.      Ensenada – need some one to work on it, finish it up, clean up rough edges

2.      Better care of the sails – let sails down when not putting the boats away immediately and leaving them on the beach or at the dock. Need training in the proper way of putting sails away.

3.      Need to put into writing the standard operating procedures – check off sheet for each boat, including the small boats.

Gary Smith:

1.      We now have power to the front gate and a motion light.

2.      We need to set a date for another adult class, many requests.

3.      Open House was a big success. We had over 20 families visit the club. Five new members signed up and potential for several more who took applications home.

Pete Haley – Summer Camp:

1.      Pete will organize the camp, he needs someone to be the lead instructor.

2.      Many people have offered to come and work.

3.      Requested that we try to change the date of camp to the following week, June 14-20. Gary Smith will contact those who have already signed up to see if they can change and get back with Pete.

4.      A limit of 10 participants for camp.

Club suggested we sail the Cal 21 of Embry Riddle’s to help determine its condition and its value to the club.

Pete Haley has another Hobie 16 to give to the club for parts, it is on a trailer.

Fred Boettcher recommended we organize the boat parking to make it easier for people to move their boats around. Stewart will work on taking care of this.

Executive Committee Minutes

August 5, 2004

6:15 p.m.

  1. Bill Field would like to donate a 25 ft. Catalina to the club. It is on a brand new trailer. The only stipulation would be the club would have to have it shipped here from New Jersey. The cost would be around $1700. Suggestion that the trailer could be sold to offset the cost of the shipping. The board voted unanimously to take the boat and pay the cost of shipping. Needs to be shipped right away or the cost will go up greatly due to the seasonal rates. Geren will ask Bill to make the arrangements.
  2. Mark Kennedy, has a boat in New Smyrna Beach he would like the club to consider buying. He is asking $950 for it. It is a 16ft. International. He has offered to bring it up to the club next week for us to look over. Geren offered to check it out and get back with the club on it.
  3. ERAU – Catalina 21 – offer them $350 if the sails are in good condition, otherwise we do not feel it is worth the $750 in lieu of their dues. Stewart suggested also discussing them giving us one of their motors in their shed if they are in good condition.
  4. Hobie 17 – Stewart Munro’s – will sell to the club for $450, needs some work – board voted to purchase Stewart’s boat
  5. Hobie 16 – John Wallace’s – need to find out his asking price
  6. Need to work on the yellow Hobie
  7. Geren discussed the expenses paid out this month:

fence - $1000

pilings - $2500

sails for Pearson - $900

  1. Geren shares with us the city was at the Sailing Center on 8/5 with blueprints for the construction of ramps and sea wall. He was told the bids were due in by 8/15 and would be taken to the next city counsel meeting for discussion and approval. The only issue is that original cost estimate is way over and they will need to see where additional funds will come from. The board will ask Gary Smith to look into when the meeting will be held and if representatives from the HSA may attend. We want to be sure the additional expenses will not be expected to be covered by our club.
  2. We have remotes for the gate. Anyone wishing to purchase them, they are $12 each.

Monthly Membership Meeting Minutes

August 5, 2004

Meeting called to order at 7:10

Stewart Munro, Vice Commodore sitting in for Commodore Gary Smith

1. Hurricane Committee:

#1 priority – Eric Schwoerer volunteered to chair the committee

A list was passed around for everyone interested in being on the committee to sign up with their phone numbers.

The committee needs to meet as soon as possible to establish a plan.

Discussion on the boats tied at the dock – 75 mph wind, must be moved out to a mooring.

Gold members are responsible for coming to the club and taking care of their own boats.

The committee will be responsible for securing any club boats.

Gary Smith is to email the gold members regarding their responsibility. 

2. We have the new sails for the Carol Ann – headsail and mainsail – cost $900

3. With Gary Smith out of town, he asked for someone to help out as race committee for the HRYC river race on Sunday, Aug. 8. Stewart Munro offered to take care of it. He would set up marker and Linda Stackpole will help with time keeping. Anyone else willing to help, please be at the club by 11 am on Sunday.

4. Brought to the membership the boats available for club purchase as discussed at the Board meeting.

Hobie 17 – Stewart Munro’s – agreed to purchase

Hobie 16 – John Wallace – need to get asking price

Cal 21 – ERAU – if sails are in good shape $350, look into the motors they have also

Catalina 25 – Bill Field – club will pay to ship the boat, discussion on someone going up to New Jersey and bringing it back, decided with the expenses and time it would be worth paying someone to deliver it to us. Steve Clements made a motion to have a professional bring the boat down.

Blanche Thomas seconded the motion. All voted in favor.

5. Geren Thomas updated the membership on the city and the ramp construction.

6. Anyone who can bring a TV with VCR to the next meeting, we will show the video that was on PBS, Florida Magazine about Halifax Sailing Association. Gary Smith along with several club members were filmed talking about what our club has to offer. We have already had response from people who have seen it and are interested in learning to sail and joining the club.

7. Blanche Thomas – a volunteer for Habitat for Humanity, brought a schedule of workdays and what will be done on those days. She asked if anyone from the club would be interested in getting together for a specific day and working. Many members were interested. Blanche will contact them to verify the work schedule and select a date for HSA that will not conflict with scheduled club events. Also, wait until the weather is a little cooler. Work hours are normally 8-1 or 2 pm. We will notify all members of the information as soon as we have it.

8. Steve Caron – Fleet 80 – thanked all the HSA members who came out and helped with the Gaulden Reed regatta. August 21 is the Gilligan’s Run, which is a distance race to the Breakers in New Smyrna and back to the Treasure Island.

9. Treasurer Report: Geren Thomas - updated on the expenses this month

Explained why the dues from the other clubs are paid late: Embry Riddle is paid in the fall when their classes resume and their clubs and organizations are up and running. HRYC pays in the fall when they have their annual Grillin and Chillin and HSA comes with sunfish and invites their membership to participate. Hobie Fleet pays their dues on time by early spring after their first big event.

Executive Board Meeting

Minutes for Oct. 7, 2004 – 6:00 pm

 

  1. Yard Design Committee – Stewart Munro will head up committee, Embry Riddle offered student volunteers to help with workday on Saturday, Oct. 16.
  2. Gold Membership Committee formed:

Bob Behnke, Jim Needham and Dave Robinson will be the committee. Gold Membership will be looked at and revisions considered, as well as, determining whether a member will be approved to be a gold member in the upcoming year.

Bob Behnke suggested using patio stones and stenciling information on it to designate the gold member boat and where it is parked. Put together a master list of gold members to be kept at the Sailing Center for reference and contact information.

  1. Gary Smith still needs to contact the city regarding the area outside our fence for parking boats and what their plans for it are.
  2. Suggestion to contact P & S Paving about bringing in pavement shavings to cover the road and bring a backhoe in to spread it out.
  3. Dock is repaired – cleats, pilings and ramps need to be secured. Gary Smith offered to contact someone to use their pump to work on straightening the pilings.
  4. Ghost is being removed in pieces. Was given to someone interested in rebuilding it.
  5. Tabasco – needs front end damage repaired.
  6. Mike Wiley will look into getting a large dumpster brought down to the sailing center and left for cleaning up the yard – old lumber, boats, trash, etc. Get backhoe here on the same day. Clean up needs to be done before the yard design can be determined.
  7. Embry Riddle:
    1. Dues for this year – still collecting dues from new members.
    2. Having fund raising party – tentative date is Oct. 22. This time they will be getting permits for music, more security, taxi service to drive people home.
    3. Will help provide manpower for clean up day.
    4. Want to participate in our regattas.
  8. Tentative date for Turkey Trot – 2nd Saturday in November, the 13th.
  9. Gold Membership Committee – timelines:

November 4, 2004

No board meeting took place.

Facility Update:

  1. Need to build a low rack for the sunfish along the north fence near public bathroom area.
  2. Get trashed boats removed to landfill next week.
  3. Permanent anchors for securing boats on shore during bad weather.

This year we may ask for an assistant Vice Commodore and Assistant Secretary.

 

Gold Membership:

  1. New contract discussed.
  2. Any changes to be considered by committee before the December meeting.
  3. November 15 is the deadline for submitting revisions to the Gold Membership application.
  4. At the December meeting, the new membership application will be voted on.
  5. From time to time, members may be at anchor.
  6. Members should not tie up to the dock more than over a weekend, unless their boat is being used for teaching classes.
  7. Boats needing major repairs must be removed.

 

City:

  1. Man from the manager’s office at the city came by today (Thursday, Nov. 4) and asked about the club boats outside the fence. They want them moved.
  2. He also mentioned finishing the seawall for the club.
  3. Crew volunteered for Saturday to haul off the boats.

  1. Anchor out and sail to Matanzas Inlet. Will leave on Friday after Thanksgiving (Nov. 26). Contact Stewart Munro if you are interested in participating.

Monthly Meeting Minutes

December 3, 2004

 

The meeting was called to order at 7 pm.

 

The main order of business: Election of Officers

Commodore: Gary Smith

Vice Commodore: Stewart Munro

Treasurer: Geren Thomas

Secretary: Patti Light

A vote was taken and the new Gold Membership Application was accepted as published on the website.

The Commodore handed out several certificates in appreciation of members who went above and beyond throughout the 2004 year, especially in coordinating the clean up and recovery after the hurricanes.

Stewart Munro was given the HSA “Spirit” Award for his hard work and dedication to the sailing center.

Door prize drawings from the prizes won at the previous year boat parade.

Meeting adjourned at 7:30 for Holiday Social.
